Use neutral, observable language. A wide view gives location context; detail and label views connect the condition to a component or item.

Export the written record
CSV is suitable for a spreadsheet. JSON preserves the editable metadata for reference. Print creates a visual index with the session thumbnails. None of these actions modifies or moves the originals.
What makes a useful photo index?
Sequence context to detail
Start with a view that identifies the room or exterior elevation, move closer to the affected component, then add a readable label, serial number, or measurement when relevant and safe.
Describe what is visible
Record observable location, material, color, pattern, dimensions, and condition. Separate what the image shows from an unverified cause, diagnosis, repair scope, or coverage conclusion.
Preserve originals and a backup
Keep the original files unchanged, retain their filenames, and store a separate backup. The index points to evidence; it is not a substitute for the original photographs or insurer-specific instructions.
Connect the references to your claim record
Copy each stable evidence reference into the matching damage record so the index and ledger can be reviewed together.
